This Privacy Policy describes how ApiVoc LLC and its subsidiaries (“ApiVoc,” “we,” “us,” or “our”) collect, use, and share information about visitors to our public website at apivoc.com (the “Site”). Our subsidiaries include Payor Systems, AmbiScript, and SmartyRx Noventa.

This policy applies only to information collected through the Site

It does not apply to Protected Health Information (PHI) processed by ApiVoc or its subsidiaries on behalf of customers. PHI is governed by the Health Insurance Portability and Accountability Act (HIPAA), our Business Associate Agreements, and, where applicable, the Notice of Privacy Practices issued by Payor Systems for its Covered Entity functions.

If you are a patient or plan member seeking information about how your health information is used, please contact your health plan or provider.

We collect information about you in the following ways:

Information You Provide to Us

When you contact us, request a demo, subscribe to communications, apply for a job, or otherwise interact with the Site, you may provide us with information such as:

  • Name and job title
  • Business email address and phone number
  • Company or organization name
  • Mailing address
  • Information you include in messages, inquiries, or applications
  • Resume, work history, and other recruiting information (for job applicants)

Information Collected Automatically

When you visit the Site, we and our service providers may automatically collect certain information about your device and browsing activity, including:

  • IP address and approximate geographic location
  • Browser type, operating system, and device identifiers
  • Pages viewed, links clicked, and time spent on the Site
  • Referring website and search terms used to reach the Site
  • Date and time of your visit

Information from Third Parties

We may receive information about you from third parties, such as business partners, analytics providers, recruiting platforms, and publicly available sources. We combine this information with information we collect directly.

We do not knowingly collect Social Security numbers, financial account numbers, government identifiers, biometric information, or health information through the Site. Please do not submit such information through Site forms or email.

Service Providers

We share information with vendors that perform services on our behalf, such as website hosting, analytics, email delivery, customer relationship management, and recruiting. These vendors are contractually required to protect your information and use it only for the services they provide to us.

Within the ApiVoc Family of Companies

We may share information among ApiVoc LLC and its subsidiaries (Payor Systems, AmbiScript, and SmartyRx Noventa) for the purposes described in this policy. Our subsidiaries share common security, identity, and administrative infrastructure.

Legal and Safety

We may disclose information when we believe in good faith that disclosure is required by law, legal process, or government request; necessary to enforce our terms or agreements; or appropriate to protect the rights, property, or safety of ApiVoc, our customers, our personnel, or others.

Business Transfers

If ApiVoc is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, information may be transferred as part of that transaction. We will provide notice if your information becomes subject to a materially different privacy policy.

With Your Consent

We may share information for other purposes with your consent or at your direction.

Do Not Track: We do not currently respond to browser “Do Not Track” signals because no consistent industry standard has been adopted.

The Site may contain links to third-party websites, applications, or services that we do not own or control. This Privacy Policy does not apply to those third parties. We encourage you to review the privacy practices of any third-party site you visit.

Data Security

ApiVoc maintains administrative, technical, and physical safeguards designed to protect information collected through the Site against unauthorized access, alteration, disclosure, or destruction. We host our infrastructure in Microsoft Azure (United States regions) and use industry-standard controls including encryption in transit, identity and access management, and continuous monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Data Retention

We retain information collected through the Site only for as long as reasonably necessary for the purposes described in this policy or as required by law. Retention periods vary based on the type of information and the context in which it was collected. When information is no longer needed, we securely delete or de-identify it.

Depending on where you live, you may have certain rights regarding your personal information. These may include:

  • The right to know what personal information we have collected about you
  • The right to access or receive a copy of that information
  • The right to correct inaccurate information
  • The right to delete certain information
  • The right to opt out of certain uses or disclosures, including for marketing
  • The right not to be discriminated against for exercising your rights

To exercise these rights, contact us using the details in the “How to Contact Us” section below. We will verify your request and respond within the timeframes required by applicable law. You may also designate an authorized agent to make a request on your behalf.

You can opt out of marketing emails at any time by following the unsubscribe instructions in the message. Even if you opt out of marketing, we may still send you transactional or service-related communications.

If you are a patient or plan member exercising rights with respect to your PHI (such as the right to access, amend, or receive an accounting of disclosures of your health information), please contact your health plan or provider, or contact us using the information below and we will direct your request to the appropriate Privacy Officer.

Children's Privacy

The Site is intended for a business audience and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through the Site. If we learn that we have collected information from a child under 13, we will delete it. Parents or guardians who believe their child has provided information to us may contact us at the address below.

International Visitors

ApiVoc is based in the United States and operates exclusively in U.S. Azure regions. If you access the Site from outside the United States, you understand that your information will be processed in the United States, where data protection laws may differ from those in your country.

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last Updated” date above and, where appropriate, provide additional notice (such as a banner on the Site or an email notice). We encourage you to review this policy periodically.
